The Manager of Administrative Support, under the authority of the Program Deans, is a member of the management team of John Abbott College.


The Manager of Administrative Support is responsible for the supervision and coordination of tasks performed by Administrative Technicians and Academic Secretaries who provide support for the Academic Administration. He or she deals extensively with Academic Department Chairs, Faculty and other administrative departments within the College in order to identify priority matters for the Deans and to communicate and coordinate administrative actions on behalf of the Deans.

General Administrative:

  • Review, analyze, develop, document and implement general administrative procedure
  • Compose correspondence independently in English and/or French Attend and provide support for meetings and follow-up on action items
  • Oversee the data gathering and data entry for the faculty evaluation process
  • Oversee the submission of course outlines
  • Review course outlines to ensure conformity with College IPESA requirements and alert the Dean(s) in the case of non-compliance
  • Identify new or amended Ministry of Education, Leisure and Sports (MELS) documents relevant to Deans and provide preliminary interpretation
  • Ensure that information on College website and intranet portal related to areas under the Deans responsibility is up-to-date
  • Update and maintain College Chairs’ Manual
  • Assist in the preparation and implementation of strategic objectives, annual priorities and departmental work plans
  • Liaise with Facilities Management Services and initiate work-orders when required
  • Perform other tasks or duties assigned by Deans

Staffing (related to personnel under his/her responsibility)

  • Responsible for the coordination, distribution and organization of work among staff and evaluation of priorities of tasks with the goal of providing efficient, effective and equitable workloads
  • Participate in the selection of personnel
  • Update job descriptions appropriate to classification
  • Prepare and conduct performance evaluation(s)
  • Make recommendations for professional development
  • Responsible for the application of Support Staff Collective agreement with respect to work schedules, absences, overtime and vacation

Institutional Research

  • Act as point of contact for individuals applying to do research in the College
  • Draft documents and prepare correspondence dealing with NSERC & SERC
  • Assist the Deans in areas of new program research and development
  • Support the Deans with allocation and faculty releases
  • Gather data, compile year-end and statistical reports related to faculty releases and special projects




Bachelor’s degree or equivalent with a specialization appropriate to the employment

Specific Requirements:

  • Excellent communication skills in English and French
  • Computer skills (Microsoft Office, Word, Excel, Outlook)
  • Strong organization, interpersonal and leadership skills
  • Problem solving and analytical skills
  • Ability to work autonomously and under pressure
  • Excellent ability to coordinate and oversee simultaneous projects to ensure completion by established deadlines
  • Knowledge of the Quebec CEGEP system and College programs would be an asset
  • Knowledge of SRIC, CLARA, and Omnivox systems would be an asset

Testing may be required to demonstrate proficiency in and knowledge of the following:

  • English and French (proficiency - oral and written)
